Inpatient nursing job roles at the UIHC may use a variety of Epic activities related to patient movement, managing orders, patient lists, and treatment teams.

The following resources provide information on Epic functionality used by Inpatient Nursing positions.

Admission Resources

Brain

  • Brain (POSS112) - (Video: 1 min) Learn about the Brain - a view that helps nurses better plan and work through their shift by putting key patient information and tasks in one place.

  • Plan and Document Your Shift Using the Brain - (Handout) The Brain is a new home activity that helps you better plan and work through your shift by putting key patient information and tasks in one place.

Discharge Resources

  • Add / Replace Preferred Pharmacy (and Send Orders to Multiple Pharmacies) - (Handout) Update the pharmacy (or pharmacies) that new prescriptions will be sent to both for the current encounter and to save time in future encounters.

  • Adding Medication Details - (Handout) The Add Med Details section of the Discharge Navigator allows inpatient nurses to enter comments into the Medication List which will display on the patient’s After Visit Summary (AVS).

  • Discharge Delays & Milestones- (Handout) Discharge Milestones are key activities or tasks that must be completed prior to discharge. Discharge Delays identify reasons patients are not discharged by 1100 on the day of discharge.

  • Discharge Follow-Up Calls - (Handout) The steps to document the follow-up call process are provided.

  • Discharging a Deceased Patient - (Handout) A deceased patient will be discharged from the Unit Manager with the discharge disposition of Deceased and will include the declared date and time of death.

  • Discharging a Patient - (Handout) When a patient’s discharge has been ordered, and the provider has performed Order Reconciliation, an After Visit Summary is typically printed, instructions provided by nursing staff, and the patient is released from the unit. At that time Unit Clerks and Nurses can discharge the patient through the Unit Manager activity.

  • Expected Discharge Date - (Handout) The Expected Discharge Date (EDD) and Time in Epic has strong multidisciplinary value towards throughput workflows within the organization, to meet regulatory compliances, and overall efficient discharge processes.

  • Patient Belongings at Discharge - (Handout) Patient belongings need to be documented at admission, on transfer (by both the sending and receiving staff), and at discharge. Epic provides a Best Practice Advisory (BPA) to remind end users to review belongings at discharge.

  • Use the Patient Station to Find the AVS from a Prior Encounter - (Handout) At the end of an IP (inpatient) or OP (outpatient) encounter, Epic creates a static copy of the After Visit Summary (AVS). To view the Static AVS from a prior encounter, use the Patient Station report pane as a shortcut.

  • PREP Checklist Report - (Handout) The PREP (Patient Readiness Exit Plan) Checklist Report, which displays progression of key aspects of patient discharge, will help decrease potentially preventable readmissions, facilitate Discharge Huddles, initiate discharge conversations starting at admissions, and improve the overall discharge process for patients and staff.

Transfer Resources

  • Approve, Reject, and Transfer a Patient - (Handout) When a patient displays within the “Incoming Transfers” section of the Unit Manager, Unit Clerks and Nurses can approve or reject those transfers generated through a Bed Request and assign the destination room / bed intended for the patient.

  • ICU Expected Transfer Out Date - (Handout) The ICU expected transfer out date displays the date the patient is expected to transfer out of the ICU. This is intended only for bed/capacity planning purposes to assist with understanding our daily ICU bed capacity.

General Resources

  • Sign In/Sign Out - (Handout) To ensure continuity of care for patients while they are admitted to the hospital, staff caring for them should be a part of their Treatment Team in Epic. A quick way to accomplish this is by using Sign In and Sign Out functionality.
  • Accessing Emergency Drug Lists for NICU & Pediatrics - (Handout) Quickly access the Pediatric and Neonatal (NICU) drug calculator to accurately determine drug dosages.
  • Acute Note Types by Role - Grid - (Handout) Epic offers several note types for documenting acute changes in patient condition. Use the appropriate type for your role and area from the grid included here so that other clinicians can easily find your documentation.
  • Breastmilk Scanning: Administering Breastmilk Feedings - (Handout) and Printing Labels for Breastmilk Scanning - (Handout) Breastmilk scanning is required at the point of administering the feeding. Nurses and NAs will scan the patient barcode and the barcode on the breastmilk towards ensuring the right breastmilk is given to the right patient prior to feeding. Labels for breastmilk can be printed by nurses, NAs, and Unit Clerks from the Print Breastmilk Labels report.
  • Documenting Interpreter Services Provided - (Handout) Nursing staff in Inpatient and Outpatient settings have access to review and document when Interpreter Services provides translational services to patients.
  • Event Log - (Handout) Clinicians are able to view a new Event Log activity when they need an overview of all care that has taken place during an admission. There are available filters for changing which information displays and which does not.

  • Nurse Writing Notes (INP063) - (eLearning: 2 min) Overview of how to review/create notes and use SmartTools in Epic.
  • Pregnancy Travel Screening - (Handout) Certain UIHC Ambulatory Clinics and Inpatient Units screen for risk for Zika virus in patients that are pregnant or plan to become pregnant. This tool aids in determining whether a patient may require additional consulting and/or special testing.
  • Specialty Comments (POSS087) - (Video: 2 min) Learn how to record comments that all clinical staff in your department or specialty can see, and even update.
