Epic 2025 Fall Upgrade

UI Health Care is committed to keeping current with Epic upgrades. This is done by installing new versions as they become available. The upgrade will include new functionality and improved user features. Some users may experience minor changes and others may have more extensive changes to their workflows.

The Epic 2025 Fall Upgrade is scheduled for October 4, 2025.

How can I see what the Epic upgrade will look like?

PLY3 Hyperdrive

On August 28, 2025, Epic Playground 3 (PLY3) was made available with the new Epic version. Playground 3 is available to all staff with Epic access as a practice environment. Staff can use their Health Care login to explore the changes. For instructions on practicing in the Epic playground, including a list of practice patients to use in PLY3, visit the Epic Practice Page.

How will I find out about the changes?

Staff members are encouraged to begin reviewing the Epic Upgrade resources that are being developed to support our users through the upgrade. Upgrade resources will be posted to this page as they become available. In addition, presentations will be scheduled at a number of department and user group meetings. And all users will receive email notifications as additional information is available.

  • Sign In/Sign Out - (Handout) To ensure continuity of care for patients while they are admitted to the hospital, staff caring for them should be a part of their Treatment Team in Epic. A quick way to accomplish this is by using Sign In and Sign Out functionality.

  • Discharge Lounge Workflow - (Handout) When an eligible patient arrives at the Discharge Lounge after being discharged from the unit, the Discharge Lounge clerk will navigate to the Patient Lists activity and indicate the patient has arrived. When the patient departs the Discharge Lounge, clerks will use the same activity to indicate the departure.

  • Canto & Haiku - Filter for Results - (Handout) Clinicians have the ability to filter results based on order type, encounter, and date range on their mobile device using Haiku and Canto.

Where can I locate Downtime materials?

Epic will be unavailable October 4, 2025, starting at 1:00 A.M. for approximately 2 hours during the system upgrade. Communication will be sent to notify users when downtime begins and when the upgrade is complete and the system is available again. Documentation of care provided during the downtime must be entered into Epic once the system comes back up. It is also recommended that all medication orders be entered into the system by 10 P.M. on Friday, October 3 to allow Pharmacy to process the requests prior to the downtime. Only emergent tests and medications should be ordered during the downtime, using UIHC approved paper requisitions located on the Downtime Procedures site.

Epic Downtime

During the downtime, users can access the Epic Downtime environment. This is a read-only copy of Epic Production as of the beginning of downtime. Epic Downtime is available on clinical workstations as well as under the Citrix icon (bullseye icon in the lower right corner of the desktop) or through Remote Access. Users will log in to the Downtime environment using the same ID/password used on the Epic Production system. All staff are encouraged to familiarize themselves with the Downtime environment.
