Schedule is known in Epic as the Multiple Provider Schedule Activity. It allows viewing of daily appointment schedules for entire departments or for any combination of the clinicians and resources within them. This activity can be used to view appointments scheduled for past, present, and future dates. A personal schedule created to track the patient's progress throughout their entire visit may be referred to as a dashboard.

  • Overview of the Schedule Activity - (Handout) Also known as the “Multi-Provider Schedule”, the Schedule provides quick access to daily appointments for a single provider or for multiple providers and resources within a department. From the Schedule, a user can perform actions on the selected patient’s appointment, change the schedule and date that displays, and view basic patient and appointment information.

  • Visit Orders Column - (Handout) Add the Visit Orders Column to the Multiple Provider Schedule (MPS) to track the status of orders placed during the visit.

Efficiency

  • Assign a Provider with a Generic Resource - (Handout) When visits are scheduled with a generic resource provider, the best practice workflow is for the actual provider who sees the patient to “take” the visit onto their own schedule.

  • Configuring a Personal Schedule - (Handout) A personal schedule allows you to track the patients you see each day and quickly access their patient visits. Customize the schedule view of the patient information to display those columns which are most beneficial.

Functions

  • Delete Dashboard Status Using the Event Log - (Handout) If a patient’s appointment status is manually updated in error, the erroneous status should be deleted using the Event Log. This button can be found on the Schedule activity toolbar, within certain provider and nurse navigators, and on the toolbar for the Department Appointment Report (DAR).

  • Manually Updating a Patient's Dashboard Status - (Handout) Dashboard statuses allow users to track the movement of a patient throughout the clinic. A status may be updated manually from the Schedule activity, from within nursing and provider navigators, and from the Department Appointments Report (DAR).

  • MyChart - Setup Schedule to see MyChart Video Visits - (Handout) Patients requesting a MyChart Video visit will be scheduled to a generic provider in the department. Providers participating in triaging MyChart video visits will need to add the UIHC Triage MyChart Video Visit to their personal schedule.

  • Print Patient Labels in Epic - (Handout) Printing patient Labels and Patient ID Band barcodes from various locations within the electronic medical record.

  • Rooming a Patient on the Schedule - (Handout) Rooming a patient on the Patient Multi-Provider Schedule activity allows clinic staff to keep track of patients as they move throughout their clinic visit. The rooming tool also helps clinic staff easily see which rooms are available and ready for patients. The Room Patient button may be accessed in the Schedule toolbar, the Visit Navigator, and the Department Appointments Report (DAR).

  • Updating the Encounter Provider - (Handout) The Schedule Provider Change button allows the user to update the Encounter Provider from the Schedule.
