The following resources provide information on Psychiatry functionality.

  • Automatic Note Routing with Communication Management - (Handout) To help increase communication between providers, Epic will automatically route communications, including certain note types (excluding psychiatry), to PCPs, referring providers and the patient’s care team, including external providers. Based on the recipient’s preference, communications will automatically send to their In Basket, fax, or print to a department defined printer to be mailed. Communication Management will function differently between Inpatient and Outpatient encounters.

  • Marking a Note as Sensitive - (Handout) Patient records, including notes, can be shared externally. Clinicians, at the request of the patient, or when they deem it necessary, can mark a note as ‘Sensitive.’ Marking the note as ‘Sensitive’ will prevent the note from being viewed by outside healthcare entities. Sensitive notes will still be viewable in Epic to end users at UIHC and to the patient in My Chart.

  • Marking a Visit as Sensitive - (Handout) Marking a visit as “Sensitive” will prevent the visit-level documentation from being shared with outside entities. The documentation will not be available through the Iowa Health Information Network (IHIN), Care Everywhere, UI CareLink, or Comm Management, but will be viewable to the patient in MyChart. This functionality is only available for outpatient visits.

  • Psych Patient Lists & Waiting Area - (Handout) Provides step-by-step instructions for accessing the Psych patient lists and approving patients from the waiting area to a Psych unit. Includes scenarios and tips for having a patient placed on the Psych patient lists.

  • Sequestered Notes (Psychiatry Only) - (Handout) Currently users are able to mark an encounter or note as sensitive. When marked as sensitive these notes or visits will not be shared with external entities (via Communication Management, UI CareLink, Care Everywhere, etc.). Sequestered Notes are a subset of sensitive notes. By default, these notes will not be available to other providers and other end users at UIHC (not viewable internally). If granted access, requesters will receive permissions to view the note directly from the HIM Department.

Leave of Absence

  • ED PAR - Arriving a Patient on Leave of Absence from Psych - (Handout) Patients on leave of absence from psych units for emergency medical care will have a unique question upon arrival that needs to be addressed.

  • Psych Leave of Absence for Labor and Delivery - (Handout) When an admitted patient in the UIHC Psych Hospital needs to go to Labor & Delivery, Leave of Absence (LOA) provides the ability to pause the patient’s Psych admission and subsequently resume that admission at a later time, without discharging and readmitting the patient. This process only applies to admitted UIHC Psych Hospital patients going to Labor & Delivery.

  • Psych Leave of Absence for BHS Nursing Staff - (Handout) When a patient in the UIHC Psych Hospital needs to go to the Emergency Department or Labor & Delivery, Leave of Absence (LOA) provides the ability to pause the patient’s Psych admission and subsequently resume that admission at a later time, without discharging and readmitting the patient. This process only applies to admitted UIHC Psych Hospital patients going to the UIHC ED or L&D areas.

  • Psych Leave of Absence for ED Providers - (Handout) When an admitted patient in the UIHC Psych Hospital needs to go to the Emergency Department, Leave of Absence (LOA) provides the ability to pause the patient’s Psych admission and subsequently resume that admission at a later time, without discharging and readmitting the patient. This process only applies to admitted UIHC Psych Hospital patients going to the Emergency Department.

  • Return to Psych after Psych Leave of Absence (LOA) - (Handout) When an admitted patient in the UIHC Psych Hospital needs to go to the Emergency Department or Labor & Delivery, Leave of Absence (LOA) provides the ability to pause the patient’s Psych admission and subsequently resume that admission later, without discharging and readmitting the patient. Once the patient has been returned on the Unit Manager, the Psych Provider will need to restart the patient’s orders. If the patient will not be return to Psychiatry, the patient needs to be discharged from their psychiatric admission.

Legal Status

The following resources provide information on Legal Status functionality.

  • Discharging a Patient - (Handout) The Discharge activity is used to record the discharge time, date, and disposition of a patient.

  • Discharging an ED Patient with a Legal Status - (Handout) Patients with a legal status restricting discharge who are being discharged to an outside Psychiatry Hospital require a Discharge Disposition of “Psych HSP/Unit.” If discharging to some other location, the provider must first remove the legal status order.

  • Reviewing and Updating an ED Patient’s Legal Status - (Handout) This workflow reviews the process to identify and update a patient's involuntary legal status and is designed to PROTECT providers from being held in contempt of court if they discharge an involuntary patient without receiving a court order.

  • Reviewing and Updating a Patient's Legal Status - (Handout) The legal status of a patient can be viewed in the Storyboard and provides links to historical documentation of a patient’s legal status and scanned legal documents. Certain legal statuses require continuation through order placement prompted by Best Practice Advisory (BPA) Notifications.

  • Undo a Discharge – Disposition “Deceased” - (Handout) Using Event Management to undo a discharge with a disposition of “Deceased”.
