Authorizations & Referrals

Hospital Authorizations/Certifications

Class Length: 2 hours

Content: Overview of Epic, review of Epic terminology related to types of authorizations, utilize workqueues to find patient encounters that require authorization/certification, document new authorizations for services such as surgeries and inpatient stays, and update existing authorization for updated encounters.

Roles: Business office/registration staff; schedulers/managers in surgical departments

Course Materials:

Outpatient Prior Auths & Referrals

Class Length: 2 hours

Content: Overview of Epic, review of Epic terminology related to referrals, review & update a referral record, overview of referral/authorization workqueues, document referral authorizations for services such as imaging, document authorization for external (outgoing) referrals, close the loop for an external referral, document patient calls.

Roles: Business office; clinic schedulers

Course Materials:

Cadence (Check In/Check Out & Scheduling)

Check In/Check Out & Cash Drawer

Class Length: 4 hours

Content: Use the Department Appointments Report (DAR) and the Today’s Patients Report, complete basic check-in and check-out processes, complete necessary patient-level and appointment-level registration items (update patient demographics, complete Medicare surveys, collect documents, collect co-pays), walk-in and one-click workflows, cancel appointments, and balance the cash drawer.

Roles: Staff who check in/check out patient appointments (front desk, clinical staff, etc.)

Course Materials:

Scheduling 1

Class Length: 4 Hours Total

Content: Schedule new and existing patients, interpret a provider's schedule, search across multiple providers & locations, complete necessary patient-level and appointment-level registration items (update patient demographics, guarantor & coverages), add an appointment to the wait list, cancel & reschedule appointments, and document a telephone call.

Roles: Staff who schedule patient appointments (front desk, clinical staff, etc.)

Course Materials:

Scheduling 2

Class Length: 4 Hours Total

Content: Schedule using Copy Into Book It, schedule from appointment requests, appointment request workqueues, schedule sequential & recurring appointments, schedule an accident-related appointment, use the wait list report, schedule with pools & decision trees.

Roles: Staff who schedule patient appointments (front desk, clinical staff, etc.)

Course Materials:

Prelude (Registration)

Patient Registration & ED (ASAP) Registration

Class Length: 4 hours

Content: 

Registration - Overview of Epic, update registration for scheduled outpatient appointments & inpatient admissions (update patient demographic information, create & update guarantor accounts, coverages, and hospital account records - HAR, complete the Medicare as a Secondary Payor Questionnaire - MSPQ), utilize patient workqueues, and create new patient records. 

ED Registration - ED Trackboard overview, document ED arrivals for both new and existing patients, complete bedside registration for patients in the ED including accident-related information, complete registration during patient discharge.

Roles: Registration Clerk, ED Clerk
