Willow is Epic's pharmacy application designed to support workflows for facility-administered medications. This application affects many aspects of the medication use process. This includes ordering, procuring, preparing, dispensing, administering and monitoring of medications and their use within Epic.

The following resources provide information on Willow Inpatient functionality.

  • Add / Replace Preferred Pharmacy (and Send Orders to Multiple Pharmacies) - (Handout) Update the pharmacy (or pharmacies) that new prescriptions will be sent to both for the current encounter and to save time in future encounters.

  • Label Scanning for Administering Medications - (Handout) New SmartText Labels have been designed to help Pharmacy and Nursing provide the safest process for administering medications on the Medication Administration Record. It is therefore important that the correct barcodes are scanned when administering medications on the MAR.

  • MAR Patch Removal Documentation - (Handout) Medication patches (like lidocaine, nicotine, fentanyl, etc) have a unique workflow for documenting the removal of patches.

  • Navigating the Medications Activity (WIP002) - (Video: 10 min) Learn how to use the Medications Activity within Epic.

  • Ordering and Verifying Non-Stock Medications for During Visit Orders - (Handout) Providers may place clinic or inpatient during visit orders through Non-Stock Medication entry when there is not a UIHC inpatient formulary option.  The order acts as a placeholder for the verifying pharmacist to initiate an allergy or interaction check.  

  • Pharmacy Interventions (i-Vents) for Pharmacists - (Handout) Pharmacy specific documentation that does not need to be visible in the patient’s chart, can be documented in Epic as a Pharmacy Intervention (i-Vent). Information in these i-Vents are used to track specific interventions that pharmacists provide and the time it takes to document those interventions.

  • Triaging Medication Messages - (Handout) Medication Messages are requests generated by nursing staff from the MAR. Types of requests include dispensing and time change requests. Pharmacy staff will then process the requests.

  • Verifying Drug Level Nursing Reminder Orders (WIP001) - (Video: 6 min) Any Vancomycin or Aminoglycosides lab order will be linked to a Nursing Reminder Order which the Pharmacist will verify.
