SmartTools are pre-configured text that can be used to increase charting efficiency and standardize documentation such as notes. SmartTools include SmartLinks, SmartLists, SmartPhrases, and SmartTexts.

Quick Start Guide

  • Utilizing SmartPhrases Quick Start Guide - (Handout) This document is a comprehensive guide that covers how to locate existing system SmartPhrases for commonly used phrases and sentences; how to create new SmartPhrases; how to add system SmartLinks (results, patient name, MRN, etc) to your SmartPhrases; how to add a SmartList of common choices to a SmartPhrase; how to Copy or Borrow other Users' SmartPhrases; and how to share your SmartPhrases with other users. This document also includes a glossary of terms for the Epic SmartTools.

  • Charting with SmartTools - (PowerPoint) Definitions are provided for various SmartTools.

  • Working Referrals that Use SmartTools - (Handout) SmartTools are pre-configured text used to standardize documentation, found in many places in Epic, including the Notes form within the referral record. Within a referral, SmartTools utilize SmartTexts and may also include SmartLists.

SmartLists

A SmartTool that allows you to pull in a predefined list of choices into a note, a personal SmartPhrase, or pre-built SmartTools like SmartTexts. Single-response lists are highlighted in yellow, while multiple-response lists are highlighted in teal.

  • Create Your Own SmartLists - (Handout) You can create and edit your own personal SmartLists. You can then add your new SmartList to any of your SmartPhrases using the SmartPhrase Editor.

SmartLinks

A SmartTool that pulls (or "links") information from the patient record directly into your documentation (example: .name pulls in the patient's name).

SmartPhrases

A SmartTool that allows you to type a period followed by a few characters that will allow you to pull in a longer phrase or block of text. SmartPhrases can be as short as a single word or as long as an entire note template. These can be system created or custom-created by users.

  • Create a SmartPhrase to Reuse Text You Commonly Type (AMB311) - (eLearning: 2 min) If you often type the same phrases and sentences while charting, create a SmartPhrase to save time in the future. A SmartPhrase allows you to insert specific text in notes, letters, In Basket messages, and many comments fields by typing a short abbreviation.

  • Customize Your SmartPhrases (AMB312) - (eLearning: 2 min) To write notes more efficiently, add SmartLinks and SmartLists to your personal SmartPhrase. You can also add synonyms to make your SmartPhrases easier to find.

SmartTexts

A SmartTool that allows you to pull in a text template for charting that can include text, SmartLists, and SmartLinks. Frequently used in progress notes.
