Beacon is Epic's medical oncology product and allows physicians to create treatment plans based on standard protocols and make treatment decisions guided by comprehensive decision support.

  • Utilizing Treatment Plans - (Handout) A comprehensive guide to creating and modifying treatment plans for adult and pediatric oncology and non-oncology providers, nurses, and pharmacists.

  • Production Setup Guide - (Handout) The Pediatric Beacon module provides additional tools and customization options to enhance communication for individuals working with treatment plans. This document guides Pediatric Beacon team members to add additional columns to personal schedules, add pediatric reports as default settings, and shows how to pin the Oncology Navigator. 
  • Go-Live Treatment Plan Conversion - (Handout) Patients on active treatment at the time of Go-Live, February 19th, 2024, must have a treatment plan converted from paper to Epic's Beacon treatment plan and edited to reflect the current state of treatment. 
  • Adding Steroids for Chemo-Intent or Oral Chemotherapy to a Treatment Plan - (Handout) When you have an existing treatment plan, you have an option to add additional orders or order groups as needed. Patients that are receiving inpatient steroids for chemo-intent or oral chemotherapy will need orders added if not part of the treatment plan to preserve the dual signature functionality.
  • Adjusting Treatment Start Time from the MAR - (Handout) Nurses can adjust treatment start times by 30 minutes or less from the Medication Administration Record (MAR).
  • Convert Inpatient Treatment Plan to Outpatient - (Handout) When a patient’s condition requires that treatment location changes from inpatient to outpatient, treatment plans must be converted to ensure appropriate orders and communication. Example: The plan was configured for inpatient for Days 1 through 8. The patient is doing well and will transition Days 7 and 8 to outpatient. 
  • Convert Outpatient Treatment Plan to Inpatient - (Handout) When a patient’s condition requires that treatment location changes from outpatient to inpatient, treatment plans must be converted to ensure appropriate orders and communication. 
  • If Patient's Birthday Results in Dose Change - (Handout) Beacon is constantly evaluating the medications contained in treatment plans and monitoring any rule-based dosing present in the plan. Rule-based dosing based on the encounter date age for a patient will result in unsigned orders being updated automatically to match the rule. Signed orders will require manual modification to align with the rule. 
  • Modify Treatment Plan Orders After Released - (Handout) Once a treatment plan has been established for a patient and orders have been released, it may be necessary to modify treatment. This may include deleting, adding, and changing existing orders. The workflows will depend on provider type and whether chemotherapy orders will be modified. 
  • Offset Timing - (Handout) Chemotherapy regimens often require carefully planned time sequencing of medication administrations. This sequence is often referred to as medications with offset start times or relative offsets. For example, the first medication in the sequence can be built with a start time of starting when released. The second medication can be built with a start time of thirty minutes after the first medication's start time, and so on through the sequence. 
  • Placing the Peds Chemo Release Order - (Handout) The Peds Chemo Release order also known as the “Ok to Treat” and “Giving the Green Light” allows providers to indicate that a patient can receive the current day of treatment by utilizing the Peds Chemo Release order. Before the green light is given, providers need to make sure they verify that the chemotherapy dosing accurately reflects patients current age and weight. The OK to Treat order should only be given from within the Treatment Plan Manager.
  • Releasing Outpatient Labs from a Pediatric Beacon Plan - (Handout) When a pediatric patient with an active Beacon treatment plan arrives on the day of treatment, lab orders will be released from Order Review using the Future Labs filter, referring to the Expected column.  
  • Running the Advanced Prep Report for Pharmacists - (Handout) The Advanced Prep Report can be used to verify signed and held orders for a patient with an upcoming appointment. Orders verified using the Advanced Prep Report will print labels in advance, allowing pharmacy staff to prepare mediations prior to the patient’s arrival. These orders will not become active until a user releases them, although verified and prepared.
  • Special Assignment Patient Lists - (Handout) A System List has been created for patients on Special Assignments in SFCH Hematology/Oncology. Special Assignment refers to patients receiving treatment after hours, over weekend, on a holiday or for desensitization. Patients will automatically be added to the System List if they have a class of “OP Visit in Bed” and a Service of PED A070 Hematology Oncology. Once a patient is admitted, or the patient class changes, they will automatically be removed from this System List.
  • Workflow for Pediatric MAs to Release Medications from a Plan - (Handout) Pediatric MAs may release certain medications from Beacon treatment plans following the workflow in this document.

  • Add an Order Group to a Treatment Plan - (Handout) When you have an existing treatment plan, you have an option to add additional orders or order groups as needed. Order groups are useful when there are multiple associated pre-medications, communications, or special prescriptions. You can also find certain prescription order groups that are helpful when there are multiple associated with one medication.

  • Add / Replace Preferred Pharmacy (and Send Orders to Multiple Pharmacies) - (Handout) For adult patients, update the pharmacy (or pharmacies) that new prescriptions will be sent to both for the current encounter and to save time in future encounters.

  • Unintended Infusion Appointment to Inpatient Admission Workflows - (Handout) For Trabectedin infusions, if the admission bed request is placed on the wrong visit, the infusion will not be able to proceed. In that case, the Admission from Appointment encounter will need to be canceled, then the admitting provider would have to add a new admission bed request to the correct visit.

  • Episodes of Care - (Handout) An Episode is a function used in Epic to link together multiple encounters because they share a patient condition or treatment regimen such as pregnancy, transplant, dialysis, back pain or chemotherapy. This linking of encounters makes reviewing, reporting, and billing for them easier. An Episode Report can be found within the Chart Review activity for encounters that are linked in this way (such as Therapy or Treatment Plans).

  • Mosaiq-Epic Interface for Beacon Users - (Handout) For a summary of a patient’s radiation treatments, clinicians can access data from Mosaiq (the Radiation Oncology software) within Epic through Episodes, the ONC Synopsis tool within Visit Navigators, the Synopsis activity, and SmartPhrases.

  • Review Your Patient's Cancer Treatment - (Handout) Use the Springboard Report to see a comprehensive overview of a patient's treatment plan and to jump to other activities or reports where you can review more detailed information.

  • Treatment Plan Columns to add to Schedules / Lists - (Handout) Columns can be added to a clinician’s My Schedule or My List to display the name of a patient's Treatment Plan(s), the status of orders in those plans, prior authorization, and the date treatment is planned for.

Multiple follow-up appointments can be requested within a single CCC Follow-Up order panel. 
  • Oncology Treatment Summary (Survivorship Care Plan) - (Handout) Providers can create, edit and complete Oncology Treatment Summaries (Survivorship Care Plans) through the Problem List.
  • Staging a Patient's Cancer - (Handout) OR Staging a Patient's Cancer (ONC060) - (eLearning: 4.5 min) Cancer diagnoses are staged and signed from the Problem List activity either by the treating physician or the tumor board coordinator. Staging can be accessed from an encounter or the In Basket. Pathologic staging values can be imported from the Pathology report.
  • Special Assignment & Weekend Infusions Patient Lists - (Handout) System Lists have been created for patients on Special Assignments in SFCH Hematology/Oncology or expected to receive Weekend Infusions in the Clinical Cancer Center (CCC).

  • Initial Set Up - (Handout) New oncology Nurse Navigators will need to complete a one-time, initial set-up within Epic to have all the necessary workspaces, reports, and dashboards easily accessible.

  • Intake Visit - (Handout) Use the Nurse Navigator activity to streamline documentation for both new and existing navigation patients.

  • Oncology Navigator Scheduling - (Handout) When a referral to the Clinical Cancer Center is received, schedulers review the referral, request external records if needed, and send the referral to navigators for triage. If the referral is accepted as appropriate for navigators, the patient is scheduled to the appropriate Navigator Intake Visit. During the Intake Visit, Navigators verify the documentation and place and schedule orders with the appropriate oncology specialists and further navigator visits as needed.

  • Oncology Navigation Tasks - (Handout) Navigation Tasks help you assign and track critical tasks for navigation patients. Reports can be run to find future, current, and overdue tasks.

  • Oncology Nurse Navigator Dashboard - (Handout) This dashboard provides you with a convenient way to identify patients for navigation, as well as to track existing navigation patients, and follow up on incomplete tasks.

  • Patient Outreach Encounter - (Handout) The Patient Outreach encounter will be used for documentation by Oncology Nurse Navigators. Both the Nurse Navigator activity and the Navigation Tasks can be accessed from within this encounter.

  • CTCAE Documentation for Treatment Plans - (Handout) CTCAE (Common Terminology Criteria for Adverse Events) is the standard method used for grading and assessing chemo toxicity. Oncology providers now have access to perform this documentation within their Oncology Navigator.

  • Graft vs. Host Disease (GVHD) Documentation - (Handout) Graft-Versus-Host Disease is a fairly common and potentially life-threatening complication of allogeneic stem cell transplantation. Beacon functionality within Epic now allows for both Acute and Chronic GVHD documentation within the Oncology Navigator.

  • Review Record of Consent Details & Staff Contacts - (Handout) Now that OnCore interfaces with Epic, staff will need to use one of the following options to locate Research Study staff contact information and Record of Consent details for Oncology clinical trials.

  • Beacon Treatment Plan Infusion Appointment Scheduling - (Handout) Treatment Plans are used for chemotherapy treatment and other treatments involving infusion therapies. These plans will generate an infusion appointment request scheduling order. Scheduling staff for locations where infusion therapies are provided will use a Treatment Plan Scheduling workqueue to schedule and modify appointments for these therapies.
